ANY BOOKING/ENQUIRY/CONTACT IS MADE WITH RGM TRUCK AND VAN HIRE AND ANY LEGAL CONTRACT IS ENTERED INTO BETWEEN THE RENTER AND RGM TRUCK AND VAN LTD DIRECTLY, NOT RGM TRUCK & VAN HIRE.   1. Definitions

“Company” refers to [RGM Truck and Van Ltd / RGM Truck & Van Hire / RGM Vehicle Hire], the vehicle hire provider.

“Customer/Hirer/Driver” refers to the individual or entity hiring the vehicle.

“Vehicle” refers to any car, van, or other motor vehicle provided by the Company.

  1. Eligibility
  • Drivers must be between 23 – 75 years old.
  • Hirer must hold and provide a valid driving licence which has been held for at least 3 years.
  • It is the hirer’s responsibility to check their license categories cover the vehicle they’re intending to hire.
  • A second form of ID must be provided confirming name and address of the hirer, such as utility bill, but not a passport.
  • There must be no more than 6 points on the driving license of the driver. There must be no disqualifications or code convictions; AC, BA, CD, DD, DR, IN, MS, TT, or UT, unless agreed by the Company in advance.
  • International drivers must present a valid passport and an International Driving Permit if applicable.
  • Final eligibility is at the discretion of the Company.
  1. Booking and Payment
  • Full payment is required at the time of booking unless otherwise agreed.
  • Accepted payment methods include all major credit/debit cards but excluding American Express (AMEX)
  • A deposit may be required prior to vehicle collection.
  • No hire is guaranteed unless payment has been made in full or by means of a deposit unless otherwise agreed by the Company.
  1. Vehicle Use
  • The vehicle must only be used for lawful purposes and driven by authorised drivers listed in the rental agreement.
  • The vehicle must not be used:
    • For racing, off-road driving, or towing*
      • *Unless authorised (see Section 13 Towing)
    • Under the influence of alcohol or drugs
    • Outside the UK without prior consent
  • Minimum hire period is 24 hours unless otherwise agreed by the Company.
  • Daily mileage allowance is 200 miles per 24-hour period and no more than 2600 miles per calendar month. Excess mileage will be charged at 0.25p per mile.
  • The hire vehicle may be fitted with a forward-facing dash camera. This is fitted for safety and security of the hirer and the Company. The camera does not record inside the vehicle and does not record audio. The footage recorded may be used for evidential purposes in the event of any incidents, claims and/or motoring offences and could be used by the police, if requested.
  1. Insurance and Liability
  • Fully Comprehensive is included as standard with an excess of £1500.
  • Excess reducer is available at an extra cost.
  • Excess reducer will not cover:
    • Any overhead damage above the windscreen
    • Reversing manoeuvres
    • Tyre damage including punctures
    • Driver negligence

The Customer is liable for:

  • Any damage not covered by insurance.
  • Loss of vehicle keys or documents.
  •  
  • Fines, penalties, and/or tolls incurred during the hire period.
  • Excess will be charged for every individual incident/claim/damage caused during the hire period.
  1. 7.5 Tonne Gross Vehicle Weight Vehicles
  • If the hirer is transporting goods for business use, hire or reward the hirer must have a valid Operator’s License and use the Tachograph fitted to the vehicle, which is the responsibility of the hirer.
  • The hirer does not require an Operator’s License nor the use of the Tachograph for the transportation of personal goods, for example private house moves.
  1. Vehicle Condition and Return
  • The vehicle will be provided in a clean and roadworthy condition.
  • Customers must inspect and report any pre-existing damage before departure.
  • Vehicles returned outside of the dates/times on the rental agreement may be liable for additional charges.
  • Vehicles must be returned:
    • At the agreed time and location
    • With a full tank of fuel (as provided). Vehicles being returned with a lesser amount will be charged at £2.50 per litre to return to full level
    • In a clean condition, free of excessive dirt or odour
    • Paint, oil, solvent and other fluid spillages that require cleaning or parts being replaced will be chargeable to the hirer.
    • Cleaning charge may be applied for vehicles returned dirty.
  • Vehicles returned outside of the date / time on the rental agreement may be charged a late return fee.
  1. Cancellations and Refunds
  • Cancellations made 7 days prior to hire will be refunded in full.
  • Cancellations made between 3 – 6 days prior to hire will be 50% refunded.
  • Cancellations made 2 days prior to hire will not be eligible for a refund.
  1. Breakdown and Accidents
  • Refer to our “What if” Guide located inside the vehicle cab.
  • In case of breakdown, contact the Company’s emergency helpline immediately.
  • In case of accident:
    • Notify the police if required
    • Obtain third-party details and take photos
    • Inform the Company within 24 hours
  1. Fines, parking charges and tolls
  • Any fines, parking charges (PCN’s), unpaid tolls will be represented to the hirer with an additional administration fee. This administration fee will not include the costs of the fine or charge, which, once represented will be the responsibility of the hirer to pay.
  • The Company is set up on Autopay for Dartford Crossing and Traffic for London (TfL). The hirer will be charged by the Company at the end of each month (or beginning of next) on the booking payment card provided by the hirer. The Company does not charge an additional administration fee for this. The hirer only pays the cost of the charge.
  • All other charges will be the responsibility of the hirer to pay at time of travel.
  1. Termination
  • The Company reserves the right to terminate the hire agreement if:
    • The Customer breaches any terms
    • The vehicle is misused or damaged
    • Payment is not received
  1. Customer Parking
  • Free onsite customer parking is available. Vehicles are left at the owner’s risk. The company cannot be held responsible for any loss or damage to a private vehicle or its contents whilst left onsite.
  • Customer vehicles are not accessible outside of office hours.
  1. Hire vehicles equipped with a towbar
  • The Company do not accept any responsibility for any loss or damage to whatever is being towed.
  • If the hirer is hiring a vehicle for the purpose of towing, please be aware that the towed trailer/caravan/car/plant or machinery and any other piece of equipment being towed is solely at the responsibility of the hirer and is in no way covered on the hire vehicle insurance. Any damage to the hire vehicle resulting from anything being towed is the responsibility of the hirer and the hirer will incur the full cost of any damage to the hire vehicle.
  1. Data Protection
  • Customer data will be handled in accordance with applicable data protection laws.
  • Personal information may be used for booking, insurance, and legal compliance purposes.
  1. Governing Law
  • These Terms and Conditions are governed by the laws of the UK and or countries within Europe and the European Union (EU).

How old do I have to be to hire a vehicle?

Age range for hiring: 23-75 years

All hirers must have held a licence for a minimum of 2 years.

Can I take the hire vehicle abroad (Europe Only)?

Yes with our prior consent. However, special terms and charges apply for taking vehicles abroad. Please call us on 01462 506070 and one of our rental staff will be happy to provide you with full details.

What documents will I need to bring with me when hiring a vehicle?

We will need to see 2 forms of ID, ie passport & a utility bill showing your current address. Your complete UK driving licence, either photocard or old style paper licence. Regardless of which type you hold, you will also need to access the DVLA website prior to your hire in order to provide us with additional information required. If I have points on my licence, will I be able to hire a vehicle?

This is dependent on the date and nature of the offence. Please call us as our rental staff will be happy to provide you with full details as further charges may apply.

I have a foreign driving licence, am I still able to hire a vehicle from you?

If your driving licence was issued outside of the EU, you must present this together with an international licence. We cannot accept international licenses on their own.

Can I hire and drop off elsewhere or out of hours?

No, all vehicles must be returned during office hours and to our site, the vehicle keys must be handed to a member of staff.

Can I leave my own vehicle on site whilst hiring from you?

Yes, Our customers are more than welcome to leave their own vehicles on site for the duration of the hire period.
Although we have a secure site, customers vehicles & possessions are left at your own risk.

What is included in the Smart Cover?

What is NOT included in the Smart Cover?
    • Damage to third party or hire vehicle due to negligence or dangerous driving
    • Loss/damage or theft of keys
    • Damage of vehicle engine or drivetrain through negligence
    • Theft of hire vehicle with the keys left in the vehicle
    • Driving, parking offences, violation of the law and toll charges
    • Loss/damage or theft of personal belongings
Does Smart Cover apply to long-term hire?

No, Smart Cover does not apply to long term hire

Do I have to pay if entering a LEZ or ULEZ Zone?

No, all of our vehicles are pre-registered on Autopay when entering these zones, this also applies to the Dartford Tunnel and the Tyne Tunnel. We will invoice you once we receive notification of any charges incurred. We are NOT pre-registered for the M6 Toll, and you are responsible for paying at the time of your crossing.

What is the milage allowance?

There is a vehicle milage allowance of 200 miles in the first 24 hour hire period thereafter 100 miles per day up to a maximum allowance of 2,500 miles per calendar month. Excess milage over this allowance is charged at 0.25p per mile.

What if I get a puncture?

Please note that all tyre damage or punctures are the responsibility of the hirer and therefore will occur additional charges.

What if I am late returning my hire vehicle?

If your hire vehicle is retuned late and outside the terms of your rental agreement further daily hire charges will be applied.

What if I have broken down?
Breakdown Assistance Car, Van, Minibus & Truck

In the event of a breakdown please contact one of the above numbers with the following information:

  • Vehicle registration
  • Details & location of the incident
  • As much information about the fault or symptoms as possible.

In 99% of cases a roadside repair would be made. If this is not possible the breakdown company will get you & your hire vehicle to a local garage for diagnostics & repair.

What if I have an accident?
